There is no single “best Microsoft 365 backup product” for every organisation. Microsoft 365 Backup is now a serious native option for fast recovery of Exchange Online, OneDrive and SharePoint Online, with one year of retention and pay-as-you-go storage. A third-party product adds value when you need broader workloads, longer or custom retention, different storage/control choices, cross-tenant operations or an MSP control plane.

The right shortlist starts with your recovery requirements—not a vendor league table.

The short answer

Choose Microsoft 365 Backup when the core requirement is high-speed recovery of Exchange mailboxes, OneDrive accounts and SharePoint sites inside Microsoft 365, and its documented one-year retention and recovery model fit.

Evaluate a third-party service when you need one or more of these:

  • Teams chats or configuration, Planner, Power Platform or Entra ID coverage;
  • retention beyond one year or multiple policy tiers;
  • independent storage location, customer-managed storage or key choices;
  • export, cross-tenant or more flexible out-of-place recovery;
  • multi-tenant/MSP operations, delegated restore or consolidated reporting; or
  • one backup platform covering Microsoft 365 and other SaaS or infrastructure.

Some third parties can use Microsoft 365 Backup Storage underneath their own management experience. “Native versus third party” is therefore no longer always a choice of recovery engine.

First: Microsoft 365 resilience is not your whole backup policy

Microsoft 365 includes service resilience, retention, recycle bins, version history, litigation hold and eDiscovery capabilities. Those controls are valuable, but they have different purposes.

A recovery policy must answer:

  • What must be restored after deletion, corruption or ransomware?
  • At what granularity—item, folder, mailbox, account, site or tenant?
  • How far back must recovery go?
  • How quickly must service be restored?
  • Who can perform and approve a restore?
  • Must a copy sit outside the production tenant or geography?
  • Which workloads—not just Exchange, OneDrive and SharePoint—are in scope?

Do not buy a backup product simply because somebody repeats “Microsoft does not back up your data.” Microsoft has a native backup service. The real question is whether its scope and controls meet your requirements.

What Microsoft 365 Backup currently protects

Microsoft documents protection for:

  • Exchange Online mailboxes;
  • OneDrive accounts; and
  • SharePoint Online sites.

It offers a one-year retention period. Microsoft’s documented recovery-point schedule is:

Microsoft documents full site/account rollback and granular file/folder recovery for SharePoint and OneDrive, plus mailbox and item-level recovery for Exchange. Restore options depend on the workload and can include the original location or an alternate location.

Pricing

Microsoft’s current published list price is US$0.15 per GB per month for protected content, billed pay-as-you-go through an Azure subscription. Restores do not carry a separate data-restoration charge. Contract, currency, tax and partner arrangements can change the actual amount, so calculate from your own protected-storage estimate.

At list price, the simple planning formula is:

protected GB × $0.15 × months

That is an estimate, not a quote. Include growth, deleted content retained by policy, administrative effort and any third-party management fee.

What “fast recovery” means—and what it does not

Microsoft 365 Backup stores backup data within Microsoft 365’s trust boundary and is designed for high-speed recovery at scale. Microsoft describes the backup storage as append-only.

That does not justify saying the backup is absolutely undeletable. Microsoft also documents offboarding and administrative deletion paths. Ask who can change policies, delete protection or offboard the service, how those actions are audited and how privileged access is protected.

Recovery speed also depends on the operation. Restoring thousands of items, rolling back a site and recovering a mailbox are different jobs. Run your own timed recovery exercises with representative data rather than borrowing somebody else’s unverified result.

The Teams coverage trap

Microsoft Teams stores different data in different services. Files can live in SharePoint or OneDrive; some message and compliance records involve Exchange and other Microsoft 365 services; team/channel configuration and apps have their own state.

Microsoft 365 Backup does not present “Teams” as one protected workload. Therefore, do not translate SharePoint/OneDrive/Exchange coverage into “complete Teams backup.”

A vendor page that says “Teams backup” is the beginning of the review, not the evidence that every row above is covered.

Where third-party products add value

1. Broader Microsoft 365 workloads

Products from vendors such as Veeam, AvePoint, Rubrik and Commvault document combinations of Teams, Planner, Power Platform and Entra ID protection in addition to Exchange, OneDrive and SharePoint. Coverage differs by product and edition. Verify the exact object types and restore operations you need.

2. Longer and more flexible retention

If policy requires seven years, several retention tiers or an indefinite archive, Microsoft 365 Backup’s one-year model does not meet that requirement on its own. Third-party services can offer longer or custom policies.

Check how retention changes affect already protected data, and whether contract termination leaves a usable export or a short recovery window.

3. Storage and control choices

Some services store data in vendor-managed infrastructure; others support customer-owned Azure storage or a separate subscription. This can help with separation of duties, residency, key management or exit planning.

“Outside Microsoft 365” is not automatically safer. It creates another identity plane, supplier, configuration and attack surface. Evaluate who operates it and how it is monitored.

4. Multi-tenant and operational tooling

MSPs and large organisations may need one console for many tenants, delegated restore roles, policy templates, alerting, chargeback and service reporting. A third-party control plane can be worth more than a feature-level difference in the backup engine.

5. Cross-tenant, export and out-of-place recovery

Mergers, divestitures, legal exports and tenant compromise can require recovery somewhere other than the original object. Require a live demonstration of the target locations, identity mapping and metadata fidelity—not just a brochure claim.

Other credible products exist. Do not turn five recognisable vendors into a claim that the market contains only five suitable options.

Run a recovery proof before signing

Use non-production or approved representative data and document the expected result.

Test at least:

  1. one deleted email and one mailbox-level scenario;
  2. a SharePoint file with versions and metadata;
  3. a folder with permissions;
  4. a OneDrive account owned by a departed user;
  5. a site-level rollback scenario;
  6. a Teams-specific object the vendor says it protects;
  7. an alternate-location or export restore if required;
  8. restore-role separation and audit evidence; and
  9. a failed or partial restore and the support route.

Record elapsed time as your test result, with the date, data size, object count, tenant condition and product configuration. Do not publish it as a universal vendor performance claim.

Does Microsoft 365 include a native backup service?

Yes. Microsoft 365 Backup protects Exchange Online mailboxes, OneDrive accounts and SharePoint Online sites with a documented one-year retention period and pay-as-you-go protected-storage pricing.

Does Microsoft 365 Backup protect all Microsoft Teams data?

No single Teams workload is listed. Some Teams files are covered through SharePoint and OneDrive, but chats, configuration, apps and connected workloads need an explicit coverage review.

Do we still need a third-party Microsoft 365 backup?
